Booking Terms and Conditions
These terms and conditions apply to all bookings. Please make sure that you have read them carefully before booking your holiday.
Clients are also asked to observe the terms and conditions of the individual property owners.
Making a booking
Pending an initial enquiry any provisional booking will be held for 5 days. The completed booking form and a non-refundable deposit of 30% of the full rental cost is required in order to secure your booking. You may pay by online bank transfer or by cheque. Following receipt of the booking form and deposit holiday tots will send you a receipt. This is the formal acceptance of the booking.
The balance of the rent together with the security deposit is payable not less than eight weeks before the start of the rental period. If payment is not received by the due date, holiday tots reserves the right to give notice in writing that the reservation is cancelled. The client will remain liable to pay the balance of the rent unless holiday tots or the owner is able to re-let the property. Reservations made within eight weeks of the start of the rental require full payment at the time of booking.
Any chargeable expenses arising during the rental period (e.g. Tots Go Lightly service) should be settled locally with the owner before departure. Please be aware that although every effort will be made to ensure that ordered items are ready for your arrival, no liability can be accepted by holiday tots for shortages of such materials, howsoever caused, whether through negligence or otherwise.
A security deposit of £200 for every booking is required in case of, for example, damage to the property or its contents. However, the sum reserved by this clause shall not limit the client's liability to the owner. After your holiday, holiday tots will refund the security deposit (or balance of the security deposit) to you after consultation with the property owner. All interests accruing shall belong to the property owner.
Changes to your booking
If you wish to change your booking, then please contact holiday tots as soon as possible; we will do everything we reasonably can to fulfil your requests . Any increased costs will be added to your balance due. However changes effected within 8 weeks of travel require full payment immediately.
Cancellation
To cancel your holiday, you must submit in writing either by email or by post. The cancellation date is the date that we receive written notification. You may cancel your booking at any time; however no refund will be made for any monies paid. The following scale of charges apply:
8 weeks or more notice of cancellation – loss of deposit
8 weeks or less notice of cancellation - 100% of total holiday cost.
The client will remain liable to pay the balance of the rent unless holiday tots or the owner is able to re-let the property. In the event of cancellation, refunds of amounts paid will be made if holiday tots or the owner is able to re-let the property and any expenses or losses incurred in doing so will be deducted from the refundable amount.
We strongly recommend that you take out holiday insurance which includes accident cover and cancellation expenses.
Cancellation by us: should the accommodation become unavailable due to circumstances beyond our control, we will not be liable for compensation, but all monies paid will be refunded.
The rental period shall commence at 4pm on the first day of the holiday and finish at 10am on the last day of the holiday. The owner shall not be obliged to offer the accommodation before the time stated and the client shall not be entitled to remain in occupation after the time stated.
The maximum number to reside in the property must not exceed the number stated on the booking form unless the owner has given written permission.
Please do not invite visitors to your holiday accommodation without the prior agreement of the property owner.
The client agrees to be a considerate tenant and take good care of the property and to leave it in a clean and tidy condition at the end of the rental period. The owner reserves the right to make a retention from the security deposit to cover additional cleaning costs if the client leaves the property in an unacceptable condition. The client also agrees not to act in anyway, which would cause disturbance to those residents in the neighbourhood.
The client shall report to the owner without delay any defects in the property or breakdown in the equipment, plant, machinery or appliances in the property, garden or swimming pool, and arrangements for repair and/or replacement will be made as soon as possible.
No Smoking Policy
Smoking inside the properties is not permitted. Any damage caused by or related to the act of smoking within the duration of a client’s rental period will be the responsibility of the lead-name on the booking form and charged accordingly.
Holiday Tots and the Owner shall not be liable to the Client
For any temporary defect or stoppage in the supply of public services to the property, nor in respect of any equipment, plant, machinery or appliance in the property, garden or swimming pool.
For any loss, damage or injury, which is the result of adverse weather conditions, riot, war, strikes or other matters beyond the control of the owner.
For any loss, damage or inconvenience caused to or suffered by the client if the property shall be destroyed or substantially damaged before the start of the rental period and in any such event, the owner shall, refund to the client all sums previously paid in respect of the rental period.
Under no circumstances shall the owner's liability to the client exceed the amount paid to the owner for the rental period.
The role of holiday tots
holiday tots is an agency acting on behalf of the owners of properties throughout the world. Please be aware that safety standards often differ in other countries and may be different to those you are accustomed to in the UK. holiday tots is committed to ensuring that you receive a high quality service in order that your holiday runs smoothly. Please be aware that when holiday tots accepts your booking on the property owner’s behalf, you are entering into an agreement with the owner. holiday tots cannot be held responsible for the actions of individuals outside it’s employ. holiday tots has visited and approved all advertised properties but it is not within the remit of holiday tots to carry out a health and safety inspection. holiday tots cannot guarantee that all items listed will be available as described. We do, however maintain close links with the property owners and will endeavour to inform you of any unavoidable, last minute changes to the inventory.
This contract shall be governed by English law in every particular including formation and interpretation and shall be deemed to have been made in England. Any proceedings arising out of or in connection with this contract may be brought in any court of competent jurisdiction in England.
